DigitalMahder ("we", "our", or "us") is operated by Space Software PLC, based in Addis Ababa, Ethiopia. This Privacy Policy explains how we collect, use, store, and protect your personal information when you use our document management platform at digitalmahder.com.

By using DigitalMahder, you agree to the practices described in this policy. If you do not agree, please do not use our services.

1. Information we collect

We collect the following types of information:

Account information — your name, email address, phone number, country, and password when you register.
Google Sign-In data — if you choose to sign in with Google, we receive your name, email address, and Google account ID from Google. We do not receive your Google password.
Files and documents — files you upload to the platform, including their names, sizes, and associated metadata.
Usage data — pages visited, features used, login times, IP address, browser type, and device platform.
Two-factor authentication data — OTP codes and authenticator app secrets used to secure your account.
Business profile data — company name and related information you optionally provide.

2. How we use your information

To create and manage your account.
To store, organize, and share your documents securely.
To send account verification, OTP, and security alert emails.
To send invoices and payment-related communications.
To monitor and improve platform security.
To respond to your support requests and feedback.
To comply with applicable laws and regulations.

3. How we store your data

Your data is stored on secured servers hosted in Ethiopia. Files you upload are stored in our controlled upload directory. We use prepared SQL statements, session encryption, and HTTPS to protect data in transit and at rest. Passwords are securely hashed using industry-standard cryptographic techniques with unique salts and are never stored in plain text. The stored password hashes cannot be reversed to reveal your original password.

4. Data sharing

We do not sell, rent, or trade your personal information to third parties. We may share data only in the following limited circumstances:

Service delivery — with email service providers (SMTP) used to send transactional emails on our behalf.
Google OAuth — when you use "Continue with Google", authentication is handled by Google LLC under their own privacy policy.
Legal compliance — if required by Ethiopian law or a valid legal process.
Business transfer — in the event of a merger or acquisition, your data may be transferred to the successor entity.

5. Cookies and session data

We use session cookies to keep you logged in during your visit. We also use cookies for CSRF protection and security state management. We do not use advertising or tracking cookies. You can clear cookies through your browser settings at any time.

6. Two-factor authentication

If you enable 2FA, we store your authenticator secret in our database in a protected format. OTP codes sent by email expire within 10 minutes and are deleted after use.

7. Data retention

We retain your account data for as long as your account is active. If you request account deletion, we will remove your personal data and uploaded files within 30 days, except where retention is required by law.

8. Your rights

You have the right to:

Access the personal data we hold about you.
Request correction of inaccurate data.
Request deletion of your account and data.
Withdraw consent for data processing where applicable.
Lodge a complaint with a relevant data protection authority.

9. Children's privacy

DigitalMahder is intended for use by businesses and professionals. We do not knowingly collect personal data from individuals under the age of 16. If we become aware that a minor has registered, we will delete their account promptly.

10. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page. Continued use of the platform after changes constitutes acceptance of the updated policy.
